Before Summer: Declutter Your Coaching Intake, Notes and Systems

The weeks before the summer break are a good moment to do something most coaches put off: go through the admin side of your practice and clear out what is no longer serving you. Not a full overhaul. Just a practical pass through intake, notes and tools to make sure September starts clean.

Your Intake Process

Read through your intake form or checklist as if you were a new client encountering it for the first time. Are there questions that feel outdated? Information you always forget to ask? Steps that looked good on paper but no one follows in practice? Remove what does not add value and add what is genuinely missing. A leaner intake is usually better than a thorough one.

Your Session Notes

Archive the files, notes or records for clients whose programs have ended. If you keep physical notes, scan anything worth keeping. If you use a digital tool, make sure closed programs are clearly marked so they do not clutter your active view. Review your session note template too: are you capturing what you actually need, or are there sections you skip every time?

Your Tools and Systems

List every tool you use in your practice: scheduling, notes, forms, communication, file storage. For each one, ask honestly: is this still useful? If you have three tools that partially overlap, the summer break is a good time to choose one and let the others go. Fewer tools means less time switching and less chance of something falling through the gaps.
