How to Migrate Your Coaching Practice to New Software

Migrating your coaching practice to new software takes three steps: export your current data, set up the new platform with your templates and client list, then onboard clients one by one before switching fully. Most coaches can complete the switch in a weekend without disrupting active clients.

Why coaches delay switching tools

The most common reason coaches stick with a tool that no longer works is the fear of losing something: notes, client history, or the workflows they have built up over time. The second reason is not knowing how to get clients onto a new platform without confusing them.

Both of these are manageable. The key is doing the migration in a controlled way rather than trying to switch everything at once.

Step 1: Export what you have

Before you touch anything in your current tool, export all client data. This includes session notes, goal records, contact details, and any documents you have stored. Most tools offer a CSV export or PDF export for this.

If your current tool does not have an export function, copy the most important records manually before you start. This is a good time to decide what is worth keeping and what you can leave behind.

Step 2: Set up the new platform before going live

Do not invite clients to a half-finished setup. Take a day to configure the new platform: add your session note templates, set up your intake form, and create a test client to walk through the full experience yourself.

This gives you confidence that everything works before a real client sees it, and it means your first invitation looks professional rather than experimental.

Step 3: Onboard clients one at a time

Start with one or two active clients who you know are responsive and open to trying new things. Walk them through the login process, show them where to find their session notes and homework, and ask for feedback after the first session.

Once that works smoothly, invite the rest of your clients. By the time you are onboarding the last few, you will have a clear explanation ready and the process will feel natural.

What to do with historical data

You do not need to move everything. A practical approach is to keep your old tool in read-only mode for three to six months, long enough to look something up if you need it. Then let it lapse. New sessions and new clients go entirely into the new platform from day one.
